A large part of the apparel and promotional product industry doesn’t sell a garment: it sells a garment plus whatever is printed, embroidered, or stamped on it.

The operational challenge is never the embroidery itself — it’s maintaining the connection between the catalog, sales, and the production floor.

LookPLM solves this with a circuit that goes through six different apps but, for the user, feels like a single path: a base product becomes a customizable product, that product defines what can be done to it and where, the seller builds the artwork line by line in the order, and production groups everything in SAP Business One respecting the manufacturing route of each batch.

Turn on the switch

The entire module is turned off by default. It is activated with a single switch, Use Custom Artwork, in the workspace settings.

It is a business decision, not a screen preference: workspaces that only sell standard products don’t even see the buttons for this module elsewhere in the suite.

With the switch on, three new things automatically appear where they are needed: the button to create a customizable product in the product record, the customization icon on each sales order line, and the custom routing and production tools in Work Order.

The blank: the product that doesn’t change

The starting point is an ordinary product: colors, sizes, cost sheet, everything just like any other item in the catalog.

We call this product the blank — the garment or item exactly as it leaves the factory, with no intervention yet.

There is no need to mark it in any special way or anticipate that it might someday be customized. It is simply a product.

One click to create the custom

Product · App

From the blank’s product record, a button creates a new product — the custom — using the blank as its base.

It is not an empty copy: the system takes every color and size variant from the blank and automatically incorporates it into the custom’s cost sheet as a component, variant by variant.

In practice, this means the custom is born with its cost structure already resolved: the same color and the same size of the blank are linked to the equivalent line of the custom, without having to rebuild the cost sheet from scratch for every customizable item.

Design Specs: what can be decorated, where, and at what size

Before selling the custom, you need to tell it what customization it accepts.

Three master catalogs — reusable across all products in the workspace — support this definition:

Decoration Type

the technique: embroidery, printing, sublimation, vinyl, whatever each business uses.

Placement Location

the location on the garment: chest, sleeve, back, each with its own reference image.

Artwork Size

the permitted artwork size, using the dimensions managed by the business.

In the Design Specs tab of the custom’s product record, those three lists are combined to declare exactly which combinations are valid for that product — a custom cap may accept embroidery on the front, while another custom T-shirt may accept printing on the chest and back.

This configuration is what later limits the options the seller can choose when building the order.

The sales order: customize line by line

With the custom configured, the seller adds it to a sales order just like any other product.

The difference appears at line level: with Use Custom Artwork active, every line containing a custom product displays a customization icon.

When opened, it builds the list of artwork that will go on that line — there can be several at once, for example an embroidery on the chest and a print on the sleeve of the same order.

For each artwork, the seller:

  • selects an artwork-type product already loaded, or uploads an image directly;
  • assigns decoration, location and size — from the combinations that the custom has enabled in its Design Specs, not from the entire catalog;
  • attaches reference files if needed;
  • defines the price of that customization.

The total of those prices is added to the order line, so the customization value remains visible in the quotation without mixing the blank cost with the artwork cost.

Sync to SAP Business One

The sales order is synchronized to SAP Business One like any other — today, this is the only ERP connected to this flow, with more integrations on the roadmap.

The artwork details remain registered and traceable in LookPLM; on the ERP side, what matters for invoicing and stock travels resolved in the line price.

Work Order: copy and trace the route

Work Order · App

Once the sales order is created, Copy to Work Order generates the work order from it, bringing each line with its product, quantity, and the link to the sale that originated it.

In the Work Order, the user assigns each line group the process route it must follow on the production floor — the sequence of manufacturing operations that batch will go through — and saves.

This is also where the customization details carried by each line from the sale can be reviewed, without editing them.

Production Order for Custom

The final stage lives in the production app for custom products.

There, available Work Orders can be filtered by route, product, work order, or sales order. The relevant ones are selected for production, and a button synchronizes them to SAP Business One.

That synchronization creates a cut ticket that groups, under a single document, all selected production orders that share the same route and product — the way the cutting and sewing floor receives, all at once, the entire batch that follows the same process.

End of the journey. From here, production continues inside SAP Business One, with the cut ticket as the batch reference.

What makes this module useful is not any of its individual steps — cloning a product, choosing an artwork size, assigning a route are simple operations.

What matters is that all eight steps share the same data thread: the custom is born linked to the blank, the product’s Design Specs constrain what can be sold, the sale constrains what gets produced, and the cut ticket groups exactly what was sold.
